    RESPONSIBILITIES

    NEUF architect(e)s is looking for an Administrative Assistant to provide support to the partners of the firm, meet the day-to-day needs of the business and manage general administrative activities. The main tasks of the position include:

    • Produce documents, reports and forms;
    • Process and classify the documentation of the various internal and external project stakeholders;
    • Perform administrative tasks such as filing, archiving, copying, scanning, etc.;
    • Assist in the preparation of regular reports;
    • Develop and maintain a filing system;
    • Respond to questions and requests from partners by providing the necessary information and administrative support;
    • Develop and update administrative procedures;
    • Replace the receptionist as needed;
    • Perform all other related administrative tasks.

    REQUIREMENTS

    • Minimum of 5 years of experience in a role with similar responsibilities;
    • Fluent in French and English with oral and written communication skills;
    • Familiarity with the construction industry and/or design (an asset);
    • Confirmed experience in document management (an asset);
    • Good knowledge of office management systems and procedures;
    • Ability to communicate, autonomy, aptitude for analysis and problem solving, team spirit;
    • Excellent time management skills, ability to identify priorities and demonstrate thoroughness;
    • Great desire to learn and develop new knowledge;
    • Knowledge of the Microsoft Office suite is essential;
    • Knowledge of creating, annotating and editing PDFs;

    NEUF architectes is looking for an assistant to the Proposal Director who plans to slow down and cut back on her working hours in the next few years. This position will offer strategic career development to the chosen methodical, decisive, and flexible person.

    This individual is responsible for the production of the Request for Proposals, from receipt of tender documents to delivery of the proposal, which is developed in close collaboration with their team (2 people) and the partner architects. He or she will also be responsible for the project database, project sheets, CV/resume bank, presentations, and other associated services for the partner architects.

    The skills required for the position are attention to detail, coordination, diligence, and impeccable French.

    Responsabilities

    • Assist the Director in her duties.
    • Communicate continuously with the partner architects and particularly with the architect responsible for the proposal.
    • Monitor and analyze published calls for tenders and research potential projects on government platforms.
    • Analyze calls for tenders, identify requirements and constraints in a detailed work plan, and coordinate the various projects with the team.
    • Coordinate the production of the bid with internal and external partners, collaborators, and engineers for multidisciplinary tenders.
    • Organize team meetings and coordinate the various weekly projects (Requests for Proposals, project sheets, resumes/CVs, presentations, etc.).
    • Maintain a high quality of the documents produced, both in terms of content and format.
    • Continuously update the project database.
    • Proofread French text in various business documents to be produced.
    • Perform any other related administrative tasks to the request's efficient development.

    Qualifications and experience

    • Attention to detail, diligent, organized, ability to work in a team and autonomously, and extremely resourceful;
    • Have an excellent fluency in the French language;
    • Mastery of office software (Office Suite, Acrobat, In Design);
    • Excellent oral and written communication skills;
    • Ability to manage several files simultaneously;
    • At least 5 years experience as an executive assistant or similar position;
    • Previous experience in the preparation of Requests for Proposals is desired;
    • Experience in architecture, engineering, design, or related professional services is an asset.
    • Ability to communicate in English.

    Reporting to the Partner Architect, this person will work with the Sustainable Strategies team and support the firm's various project teams. The ideal candidate demonstrates attention to detail in their work, the ability to multi-task, synthesize information, and an interest in the various environmental certifications. The main responsibilities will include:

    • Act as a project manager to ensure successful project realization, in accordance with contractual needs and objectives;
    • Support the various stakeholders and internal teams in the integration of sustainable strategies and requirements of different certifications for new and existing building projects;

    • Produce the required technical documents for LEED, WELL, Zero Carbon and any other relevant certifications;

    REQUIRED PROFILE

    • Excellent writing, editing, and communication skills;

    As an Office Manager, you will be responsible for a diverse set of senior administrative tasks including executive support, general scheduling and bookings, organization and coordination of the Toronto and Ottawa offices. The candidate will be responsible for the seamless operations of the offices, suggesting and implementing ideas to enhance day-to-day operations where possible and providing administrative support to the local teams.  Based in Toronto, it is expected that onsite time to the Ottawa office will range from 1 to 2 days per month. The ideal candidate will demonstrate strong ownership, initiate, drive and commitment, and will be given every opportunity to excel in their professional growth.

    Responsibilities

    • Provide Office Administration/ Executive Support.
    • Coordinate schedules, appointments, meetings, etc. Greet clients and visitors to the office, place catering/ food orders and support staff members across Toronto and Ottawa offices.
    • Coordinate internal and external video conference meetings, including troubleshooting equipment, communications with external/ internal office staff and NEUF IT department.
    • Check office mail and deliveries. Liaise between three offices to arrange couriers and deliveries.
    • Liaise with NEUF internal administration team for timely management of office invoices, subscriptions, expenses, and renewals.
    • Assist Toronto and Ottawa staff with conference registrations and travel arrangements.
    • Being an important point of contact for HR inquiries.
    • Assist and support Toronto and Ottawa with signage, marketing and other printing arrangements. 
    • Support with certification documentation and license renewals.
    • Fluent in English with oral and written communication skills. French is an asset.
